Digital time slot management noticeably simplifies the planning and control of loading times

HANSA-FLEX has introduced the plx.planning software for the digital management of loading times at its two central warehouses. Transport partners can now log on to the web-based platform and book the time slots for their tours independently.

Initial situation in load time management

From the two central warehouses in Bremen and Geisenfeld (southern Germany), HANSA-FLEX supplies the branches with its own fleet of vehicles and external transport partners. Goods are also delivered by the company’s own and external vehicles.

Before the processes were digitized, the loading times at both logistics locations were planned using numerous Excel forms. Coordination for booking loading times took place via communication channels such as email and telephone. As a result, the personnel costs for the individual process steps were correspondingly high.

In addition, the large number of tours and manual processes meant that errors could quickly creep in during data exchange. The processes therefore needed to be streamlined and standardized with a software solution for digital time slot management.

Requirements for the software solution

In a PureLoX SOLUTIONS webinar and via their own test accounts, the managers at HANSA-FLEX were able to convince themselves of the advantages of the plx.planning software. The web-based software is quickly available as a standalone solution. Individual requirements can be flexibly configured.

Simple adaptation to customer requirements

In a workshop at HANSA-FLEX, the requirements and wishes for the processes were defined for both central warehouses. On this basis, the software could be adapted and coordinated with little additional effort.

The new digital process flows are the same at both locations: in the plx.planning software, the tours are created individually or multiple times directly via CSV upload. The transport partners then receive their data automatically by e-mail with a link to the tour. Fixed partners log in to the web-based platform with their access data. In their individually visible area, they then select a loading time within the specified time frame and book it.

In addition, partners can delegate their assigned tours to third parties via so-called “single logins”. This is helpful, for example, if their own capacities are not sufficient within the planned time frame. The third-party partners log on to the platform once with a link and password and book a time slot for this individual tour.

Fast software implementation

Stefan Disterheft, Logistics Consultant at PureLoX, managed the project at HANSA-FLEX: “As plx.planning is successfully used in practice, our software already covers the requirements for common logistics processes as standard. The adaptation and configuration to individual rules, loading times or number of ramps is very simple. The role concept, i.e. which user has which access rights, is also very easy to manage. This enabled us to carry out the workshop for both HANSA-FLEX central warehouses within three months, adapt the software and go live as a secure and quickly deployable cloud solution. This is theoretically and practically possible within one day if our web-based plx.planning can be used without any special adaptations. No proper user training is required. At HANSA-FLEX, the ease of use was already agreed in advance via webinar, test account and workshop. During commissioning, which took just a few hours, we merely supported the staff here and there. Even after the go-live, we are available to our customer with remote support for all questions.”
